Who we are
CrewMate is software for trades businesses, made by CrewMate AI, based in Toronto, Ontario, Canada (“we”, “us”). This policy explains what we collect, why, and your choices. It covers two situations: (1) visitors to our marketing pages, and (2) businesses that use the product and the data they put into it — including their own customers’ information.
1. Our marketing pages & the founding list
When you join our list or start a trial we collect what you give us — your name, email, and any details from the short questionnaire (city, revenue range, biggest problem). If you arrived from an ad, we record which ad. We use this to reserve your spot, email you about CrewMate, and understand what trades businesses need. We don’t sell or rent your personal information. Every email has a one-click unsubscribe.
2. Data you put into CrewMate (business use)
When you use CrewMate, you and your callers provide information that we store on your behalf: your business settings, and your customers’ names, phone numbers, addresses, job details, quotes, invoices, and call recordings and transcripts. For this data, you decide what is collected and why — you are the “controller,” and we act as your service provider (“processor”), using the data only to run CrewMate for you and following your instructions. You’re responsible for having the right to collect it and for telling your own customers how you use it.
3. Call recording & AI
Calls to your CrewMate number are answered by AI, recorded, and transcribed so the assistant can book jobs, answer questions, and give you a record. Sarah discloses at the start of each call that it may be recorded. Recordings and transcripts are stored with your account’s other data and processed by the AI providers listed below solely to run the call. You control this data — you can review and delete it.
4. The providers who help us run CrewMate
We use trusted service providers (“subprocessors”) to operate the product. They process data only to provide their service to us, under their own security and privacy commitments:
Some of these providers are in the United States, so your data may be processed there. We use them because they’re necessary to deliver the phone, AI, and email features CrewMate depends on.
5. How we protect your data
Data is encrypted in transit (HTTPS). Each business’s data is isolated so one business can never read another’s. Sign-in is passwordless (one-time email links), and administrative access is restricted. We keep regular backups so your data can be recovered. No system is perfectly secure, but we take reasonable steps appropriate to the sensitivity of the information. For a plain-English summary, see our Security & Your Data page.
6. How long we keep it
We keep your business data for as long as your account is active and for a reasonable period afterward so you can retrieve it, unless you ask us to delete it sooner. Marketing-list data is kept until you unsubscribe or ask us to remove it. We may keep limited records where the law requires (for example, transaction records).
7. Your rights & requests
Under Canadian privacy law (PIPEDA) and similar laws, you can ask to access, correct, or delete personal information we hold about you. If you’re a business using CrewMate, your dashboard lets you export or delete any customer’s data directly. If one of your customers contacts us about their data, we’ll direct them to you (the business responsible for it) and help you respond. 8. Advertising & analytics
Our public marketing pages use the Meta (Facebook) pixel to measure whether our advertising works; it may set cookies. This applies to those pages only — not to the private dashboard where your business data lives. You can limit ad tracking in your browser and Meta ad settings.
